NAAC Accreditation Prep With AI Assistance

NAAC prep is an evidence problem. An agent that retrieves the file you already filed is useful. An agent that writes a metric you cannot show a DVV team is how you fail a visit.
The IQAC room had a wall of files and a new assistant that could 'draft the SSR overnight'. Overnight it produced a paragraph that claimed a precise percentage of students on internships, a precise number of MOUs, and a precise satisfaction score. None of the three numbers existed in the IQAC sheets. Two of them were close to last cycle's wishful draft. The coordinator, exhausted, left them in. The DVV clarification asked for supporting documents. The visit later asked a student about an internship programme that existed only in the generated prose. The grade was not the only casualty. The file had learned to lie fluently.
This is a guide to using official agents in NAAC preparation without inventing the institution. The National Assessment and Accreditation Council publishes frameworks, manuals and notices that change — including shifts in process that you must read on naac.gov.in rather than from this page. This article will not invent a current criterion that awards points for deploying AI. It will tell you how to retrieve evidence and how to keep a model away from the calculator.
It is not legal advice and not a consultancy for a grade. NAAC is an assessment. Your job is a true file. An agent is a clerk for that file, or it is a risk to it.
What NAAC prep actually is
It is a pile of quantitative data, qualitative narrative, and documents that must survive Data Validation and Verification and a peer team. The names of portals, manuals and cycles change. The shape does not: you claim, you show, they ask.
IQAC already suffers from scattered evidence — a dean's laptop, a placement-cell spreadsheet, a photo archive, an AISHE submission, a minute book. An agent that can retrieve across a curated, access-controlled corpus of those objects is useful. An agent that is asked to 'make us look better' will.
Peer teams talk to people. Prose that students and teachers cannot recognise is a visit risk even if DVV never catches the number.
Safe jobs for an agent
Retrieval. Where is the 2024 placement report. Which minute created that cell. What did we submit to AISHE. Cite the object. Do not summarise it into a new statistic.
Drafting connective tissue. IQAC can ask for a paragraph that points to three existing annexures. A human checks that the annexures exist and say what the paragraph claims.
Consistency checks. Flag when two drafts name different counts for the same object. The agent reports the clash. It does not pick the nicer count.
Peer-team logistics. Schedules, room lists, published manuals. Not a coaching script that tells departments how to perform.

DVV is the adversary you asked for
Data Validation and Verification exists to catch unsupported quantitative claims. A language model is a machine for unsupported fluent claims. Putting those two in a room without a sheet-first rule is how IQAC spends a year in clarifications.
Build a simple discipline. Every number in a draft has a pointer to a cell, a report, or a signed count. The agent cannot emit a bare number. If your stack cannot enforce that, do the numbers only in the spreadsheet and paste them as dead text.
Do not invent that NAAC has banned or required generative tools. Check live notices. Your risk is older than any such notice: a false statement in a quality file.
Privacy and theatre
SSR evidence includes student data, staff data, sometimes health and grievance traces. The IQAC corpus is not a general helpdesk corpus. Access is named. Unofficial public models are forbidden. A coordinator who pastes a draft SSR into a consumer chatbot has just sent the institution's quality file to a stranger.
Theatre: a chatbot in the reception on visit day that cannot retrieve a real annexure. Peer teams are not fools. A working register of evidence is more impressive than an avatar.
NEP language in the SSR should follow the honesty rules in the companion explainer. Do not let the agent sprinkle NEP on every criterion.
People still own the claim
The IQAC coordinator, the head of the institution, and the criterion owners own every sentence. An agent in the path does not dilute that. Document that drafts were machine-assisted and human-accepted if you wish. Do not hide the assistance if asked. Do not brag about it as a grade strategy.
Criterion owners must be able to find the evidence without the agent. If only the model 'knows' where the file is, you do not have a system. You have a dependency.
- Curated corpus: signed reports, minutes, AISHE extracts, photos with captions you already stand behind.
- No souvenir PDFs as if they were results. The degree-verification lesson applies.
- No student quotes the model invented.
- Sheet-first numbers. Retrieval-first prose.
- AUP for IQAC. No public-model paste of drafts.
Objections you will hear — and what to do with them
These are the lines that stall the file. Answer them in the room, then put the answer in the note. A spoken answer without paper will be forgotten by the next officer.
Every campus will use AI on the SSR. We will look dated.
Peer teams look for a campus that exists. Dated and true beats fluent and hollow. If you use a helper, use it as a clerk.
We do not have time to curate a corpus.
Then you do not have time to survive DVV either. Curation is the work. The agent is optional on top.
The vendor says their NAAC pack is mapped to the latest manual.
Ask for the URL of the manual they mapped and the date they checked. Mapping that invents metrics is worse than no pack. Check naac.gov.in yourself.
Can we use a public model if we strip names.
SSR drafts still describe the institution in identifiable ways and often still hold personal data. Official estate-held retrieval is the path. Public paste is how your quality file becomes someone else's context.
A 45-day IQAC helper that cannot invent a metric
Start after you know which live NAAC process you are actually in. Do not start from a vendor's memory of an old manual.
- Days 1–10: read the live NAAC material. Build the evidence inventory. Separate sheets (numbers) from documents (proof).
- Days 11–20: stand up a retrieval agent on hashed, access-controlled objects. Ban souvenir and draft-as-fact files.
- Days 21–30: connective-tissue drafting with mandatory citations. Configure or procedurally ban bare numbers from the model.
- Days 31–40: DVV table-top: pick five claims and produce the objects in ten minutes each. Kill any claim that fails.
- Days 41–45: AUP for IQAC, public-model ban on drafts, criterion-owner sign-off that they can find evidence without the agent.
How this shows up in the file
Live-notice print of the NAAC process you are in, the evidence inventory, the no-invented-number rule, and the human acceptance of each criterion draft. If the vendor's NAAC pack is thicker than your inventory, you are preparing their campus, not yours.

How this works on an Indian campus
A P3 University should be able to run “NAAC Accreditation Prep With AI Assistance” without importing a US playbook. “NAAC accreditation AI” hits UGC/AICTE/NAAC clocks, exam secrecy, reservation rules, and students who may be minors.
NAAC prep is an evidence problem. An agent that retrieves the file you already filed is useful. An agent that writes a metric you cannot show a DVV team is how you fail a visit. DPDP applies to student personal data. Chatbots are not a strategy. Exam and admissions writes stay with officers. Affiliated colleges need isolation, not one shared index.
- No production student data in a vendor SaaS sandbox.
- Write the academic integrity policy before the tool.
- Consent and purpose tags on student-facing agents.
- Budget for staff training, not only licences.
Close this loop before the next CAB
Put “NAAC Accreditation Prep With AI Assistance” on the next change-advisory or bid-opening agenda as a single line item with an owner. If it cannot earn a line item, it will not earn a control. The owner should be a P3 University, not “the vendor.”
Revisit the item when the model, the GeM term, the region, or the SI changes. “NAAC accreditation AI” is not a one-time workshop. It is a watch item. Date the last check. Unsigned watch items are souvenirs.
Questions this usually raises
- Does NAAC require us to use AI?
- Do not invent that requirement. Read live notices on naac.gov.in. Assessment is about evidence and quality. A chatbot is not, by itself, a criterion.
- Does NAAC ban generative AI in SSR writing?
- Same discipline — check live. Regardless, a false metric is already a problem. Sheet-first is the safe rule even in silence.
- Can an agent help with AQAR or other periodic filings?
- Yes, as retrieval and connective drafting over this year's objects. The same no-invented-number rule applies. Names of filings change; the discipline does not.
- Should we tell the peer team we used an agent?
- If asked, tell the truth. Hiding a helper is uglier than having used a clerk. Do not lead the visit with a product demo unless they ask to see a system that actually serves students.
- What about student personal data in the IQAC corpus?
- Minimise. Prefer aggregates from the MIS over named files. Apply the campus DPDP checklist. The IQAC drive is not a second ERP with looser habits.
